Plan My Vote is a service provided by Democracy Works, Inc. Democracy Works is committed to protecting the privacy of our users. We have established this privacy policy to explain in detail what information we collect and how we use it.

The Plan My Vote tool collects personal information in order to help users know when and where they need to vote and how they are getting to the polls. We take great care to ensure that this information remains private. We do not sell our user information, nor do we distribute any personal user data for any purpose other than providing you with the information and services you have requested and improving our ability to serve you in the future. When you provide Democracy Works with contact information, we offer custom settings that allow you to control how and when we use it.

Information we gather


When you sign up on Plan My Vote, we do store personally identifiable information, including your name, email address or phone number, and other identifying information. Information you provide will be used primarily to provide you with informational services about your voter plan (“Services”) according to your request. For example, we use your email address so that we can send you an email reminding you about your voter plan prior to the election.

Democracy Works uses simple analytics tracking to monitor user traffic and visitor trends on the Plan My Vote tool. When you use the web form, we record basic information such as your IP address, referral source, browser type, and the date and time of your visit. We use this data only on an aggregate basis – for example, to know which pages are most popular or how many people visit the site on a given day. This information helps us improve our voter services. We do not link this information to your notification account or identity.


Cookies are small pieces of data stored on your computer for a prolonged period of time that make our service easier to use by saving your status and preferences. We use session cookies to keep track of the information you enter while you fill out the web form. Most browsers are initially set to accept cookies, but you may be able to change the settings to refuse cookies or to be alerted when cookies are being sent.


We may disclose personally identifiable information about you to third parties in limited circumstances, including:

(1) with your consent (e.g. if you opt-in to participate in a user experience survey); or

(2) when we have a good-faith belief it is required by law, such as pursuant to a subpoena or other judicial or administrative order.

If we are required by law to disclose the information that you have submitted, we will attempt to provide you with notice (unless we are prohibited) that a request for your information has been made in order to give you an opportunity to object to the disclosure. We will attempt to provide this notice by email if you have given us an email address. If you do not challenge the disclosure request, we may be legally required to turn over your information.

In addition, we will independently object to requests for access to information about users of our site that we believe to be improper.


Democracy Works contracts with third party service providers and partners to send you reminders, and track voter turnout among users, and we transmit your information to them for these purposes. We do not share any information with these service providers or partners beyond what is necessary to provide you with their services.

Democracy Works uses industry-standard security measures to protect the information you provide to us. Information you submit is encrypted through a Secured Socket Layer (SSL) connection, which protects the data in transit.

Although we make good faith efforts to store information securely, we cannot guarantee complete security. Democracy Works shall not be responsible for any harm that you or any person may suffer as a result of a breach of confidentiality of any information you transmit to the Vote Planning service.

Updating or Removing Your Information

You may choose to correct, update, or delete the user information you have submitted to us. However, please understand that deleted information may persist in our backup files.

General Description

Welcome to Plan My Vote, a project of Democracy Works Inc. Plan My Vote sends you calendar invites via email that help you know when and where you are voting and how you are getting to the polls (the “Services”).

To provide the Services, we have to set out some ground rules for using the Services in this document (the “Terms”). By accessing, using, or contributing to the Services, and in consideration for the Services we provide to you, you agree to abide by the Terms.

Democracy Works may change the Terms from time to time, at Democracy Works’s sole discretion. Your continued use of the Services following the posting of such changes will constitute your assent to all such changes. Please periodically review the current version of the Terms.

Democracy Works will make reasonable efforts to ensure the validity and timeliness of the applications, forms, addresses, election dates, and other information and services offered through the Services. We will use various measures to improve the accuracy and reliability of the Services we provide. However, it is ultimately your own responsibility, as a citizen, to obtain and abide by all voter registration and election laws, eligibility requirements, deadlines, and regulations. Democracy Works makes no warranties or representations about the Services, including but not limited to accuracy, reliability, completeness, timeliness or reliability. Nor can Democracy Works guarantee that the Services will be kept available or updated—Democracy Works reserves the right to change, suspend, or discontinue all or any part of the Services at any time without prior notice or liability.

Democracy Works does not provide or replace individualized legal or electoral advice. The Services may include information which is out-of-date, jurisdiction-specific, or applicable only based on a specific set of facts and that not apply to your situation. Use of the Services does not create an attorney-client relationship between the user and the Democracy Works. If you are in need of legal advice, seek individual attorney advice and do not rely on Election Notifications. Democracy Works is not your lawyer, agent, or representative for any purpose.

The information in these Services is provided free-of-charge, and we accept no liability for the Services and the information in these Services. Our liability is limited and excluded to the maximum extent permitted under applicable law.

Disclaimer of warranty and limitation of liabilities

The service is provided on an “as is” and “as available” basis without warranties of any kind, either express or implied, including but not limited to warranties of merchantability, fitness for a particular purpose, non-infringement, or otherwise. Without limitation, we disclaim any and all warranties regarding the security, reliability, timeliness, and performance of all services associated with use of the site. We make no warranty, express or implied, that your use of the site will be uninterrupted, timely, or error-free. Some jurisdictions do not allow the disclaimer of certain warranties, so portions of the above disclaimer may not apply to you.

To the extent not prohibited by applicable law, Democracy Works will not be liable for any damages of any kind arising from the use of or inability to use the service. You expressly agree that your use of the service is solely at your own risk. Under no circumstances shall the Democracy Works be liable for any direct, indirect, special, or consequential damages, including but not limited to loss of profits, income, or business opportunities, regardless of the nature of the claim or the form of action, arising out of or connected with the service (including but not limited to its operation, its contents, or the information or materials contained therein, or the use or inability to use any other site linked to the site, or any content contained in any such site, or these terms, or the privacy policy applicable to the site) even if Democracy Works, its suppliers, or licensors have been notified of the possibility of any damages.



Democracy Works respects the privacy of our users. The Privacy Policy (above) is expressly incorporated herein by reference and made a part of these Terms.


Democracy Works reserves the right to terminate your Account(s) or restrict access to your Account(s), or to delete any information stored in your Account(s), with or without notice, for any or for no reason, and without any liability to you.

Access to and use of the services


You shall not attempt or engage in potentially harmful acts that are directed against the Services including, without limitation, the following:

  1. Using the Services in contravention of any other agreement to which you are a party, including without limitation any employment agreement to which you may be a party

  2. causing, allowing, or assisting any other person to use your Account(s) or impersonate you

  3. logging onto a server or Account(s) that you are not authorized to access

  4. forging user names, manipulating identifiers, or otherwise impersonating any other person or misrepresenting your identity or affiliation with any person or entity

  5. emulating or faking usage of the Services

  6. violating or attempting to violate any security features of the Services

  7. using manual or automated software, devices, scripts, robots, or other means or processes to access, “scrape,” “crawl, ”or “spider” any pages contained in the Services

  8. introducing viruses, worms, software, Trojan horses, or other similar harmful code into the Services

  9. interfering or attempting to interfere with the use of the Services by any other user, host, or network, including without limitation by means of submitting a virus, overloading, “flooding, ”“spamming,” “mail bombing,” “pinging,” or “crashing” the Services

  10. causing, allowing or assisting machines, bots, or automated services to access or use the Services without the express written permission of Democracy Works

  11. tampering with the operation, functionality, or the security of the Services

  12. attempting to override or circumvent any security or usage rules embedded into the Services that permit digital materials to be protected

  13. attempting to probe, scan, or test the vulnerability of the Services, or any associated system or network, or breach any security or authentication measures

  14. misusing, tricking, disrupting, or otherwise interfering with the functioning of the Services

  15. harvesting or collecting email addresses or other contact information of other users or clients from the Services by electronic or other means

  16. reverse engineering, decompiling, disassembling, deciphering, or otherwise attempting to derive the source code for any underlying intellectual property used to provide the Services

  17. engaging in “framing,” “mirroring,” or otherwise simulating the appearance or function of the Services

  18. forging any TCP/IP packet header or any part of the header information in any e-mail or newsgroup posting.

Violations of system or network security may result in civil or criminal liability. You agree that it is your responsibility to install anti-virus software and related protections against viruses, Trojan horses, worms, time bombs, cancelbots, or other computer programming routines or engines that are intended to damage, destroy, disrupt, or otherwise impair a computer’s functionality or operation.


Pursuant to 47 U.S.C. Section 230(d) as amended, Democracy Works hereby notifies you that parental control protections (such as computer hardware, software, or filter services) are commercially available that may assist you in limiting access to material that is harmful to minors. Information you provide to the Service, including your name, phone number, email addresses, and other identifying information, should be relevant to the subject scope of Democracy Works. Information you provide may not be false, misleading, illegal, obscene, defamatory, threatening, infringing of intellectual property rights, invasive of privacy or otherwise injurious or objectionable.

Democracy Works does not pre-screen or regularly review information you provide, but Democracy Works has the right (though not the obligation) to remove, without notice, any information you provide which it considers, for any reason, to violate these Terms or to be outside the subject scope of the Services. Democracy Works may terminate any Account, with or without notice, for providing such information.


By providing information and/or content to Democracy Works, you represent and warrant that you have all right, title, and interest to such information, including but not limited to any consent, authorization, release, clearance or license from any third party (such as, but not limited to, any release related to rights of privacy or publicity) necessary for you to provide, post, upload, input or submit the information and/or content, and your provision of the information and/or content does not violate any federal, state, or local law. You further represent and warrant that providing such information and/or content does not violate or constitute the infringement of any patent, copyright, trademark, trade secret, right of privacy, right of publicity, moral rights, or other intellectual property right recognized by any applicable jurisdiction of any person or entity, or otherwise constitute the breach of any agreement with any other person or entity. You further represent and warrant that you are who you say you are, that you have not submitted fictitious, false or inaccurate information about yourself, and that all information and/or content provided is true and your own information, and that the provided information and/or content does not contain any threatening, harassing, libelous, false, defamatory, offensive, obscene, or pornographic, material, or other material that would violate any other applicable law or regulation. You agree that you will not knowingly and with intent to defraud provide material and misleading information and/or content. You represent and warrant that the information and/or content you supply does not violate the Terms.


You agree to defend, indemnify, hold harmless, and defend Democracy Works and its licensors, suppliers, officers, directors, employees, agents, affiliates, subsidiaries (collectively “Indemnified Parties”) from and against any and all liability, loss, claim, damages, expense, or cost (including but not limited to attorneys’ fees), incurred by or made against the Indemnified Parties in connection with any claim arising from or related to your use of the Service, the placement, posting or transmission of any messages, information, software, content or other materials on or through the Service by you or users of your account, or any breach or violation of these Terms of Use by you or users of your account. You agree to fully cooperate as reasonably required by any Indemnified Party(ies). Each Indemnified Party may, at its own expense, assume the exclusive defense and control of any matter for which it is indemnified hereunder. You shall not settle any matter without the consent of the applicable Indemnified Party.

Democracy Works reserves the right to change, at any time, at our sole discretion, the Terms under which these Services are offered. You are responsible for regularly reviewing the Terms. Your continued use of the Services constitutes your agreement to all such Terms.


Democracy Works disclaims all responsibility and liability for the availability, timeliness, security or reliability of the Services, or any software provided through the Services. Democracy Works reserves the right to modify, suspend, or discontinue the Services without any notice at any time and without any liability to you.


The Terms apply to use of and contribution to the Services and any account provided therefore. Democracy Works. may operate additional projects or services which require separate or additional terms. Such different terms are made available through the individual project or service and are not addressed further herein.


Failure of Democracy Works to exercise or enforce any right or provision of these Terms shall not be deemed a waiver of such right or provision in that or any other instance.


These Terms are governed by the laws of the District of Columbia, without regard to the rules of conflict of law that may cause the laws of another jurisdiction to apply. You agree to the sole and exclusive jurisdiction and venue of the federal or state courts serving the District of Columbia in the event of any dispute of any kind arising from or relating to the Services, or your use or review of it. The Terms constitute the entire agreement between the parties with respect to the subject matter hereof and supersedes and replaces all prior or contemporaneous understandings or agreements, written or oral, regarding such subject matter. If for any reason a court of competent jurisdiction finds any provision or portion of these Terms to be unenforceable, the remainder of the Terms will continue in full force and effect.
