JOB: Office Assistant (part-time)

At Democracy Works, we believe that voting should fit the way we live. To that end, we build technology for voters and election administrators that simplifies the process and ensures that no one should ever have to miss an election.

TurboVote, our first service, tracks an individual voter’s elections. We provide all the materials and information they need to get registered, stay registered, and cast a ballot in every election, from municipal to national—and we’ll even mail forms with an addressed, stamped envelope for the local election office. Ballot Scout, our newest product, helps local election administrators track absentee ballots as they travel through the mail, providing transparency in the process and making it easier to follow up when things go awry. We also work with the Pew Charitable Trusts and Google to ensure that the Voting Information Project’s data is up-to-date and ready from one election to the next.

These services are the work of 21 employees, distributed across six states. We are a (not so) small startup any more; we’re looking for additional hands to ensure that our internal operations can keep up while we continue grow.

As an office assistant, you’ll:

  • Keep our Brooklyn headquarters stocked and organized

  • Wrangle QuickBooks, updating client and vendor info, entering bills, and generating invoices

  • Work with our partnerships team to track invoices and ensure that they’re paid

  • Serve as an internal travel agent, helping with flight-booking and Airbnb reservations

  • Manage our filing systems (digital and paper), keeping them organized and up-to-date

You are:

  • Exceptionally organized

  • Empathetic and creative in your approach to customer service

  • Passionate about getting details exactly right

  • An excellent communicator, who can write warm and conversational emails without sounding too informal

You have experience:

  • Working in QuickBooks Online

  • Handling nonprofit accounting

  • Previous work in a non-profit office preferred but not required
